Monthly salary processing
Calculate basic pay, allowances, approved variable pay, overtime, unpaid leave and documented deductions from the employer’s authorised inputs. Reconcile joiners, leavers and contract changes before the run is final.
Salary processing · WPS support · payroll reporting
Accurate salaries need more than a spreadsheet. SAIF Chartered Accountants helps employers organise monthly payroll, prepare agreed salary and payment-file outputs, and connect employee costs to reliable accounting records.
From a small team to several UAE entities, we define the cut-offs, calculations, approvals and reporting around your actual company profile. The employer retains control of employment decisions and wage payments.

The short answer
It turns approved employment data into a checked salary register, payment-ready information, payslips and accounting entries. A useful service also makes exceptions visible: a late joiner, changed allowance, unpaid leave, bonus or final settlement should not disappear inside a total.
Payroll processing can be a stand-alone engagement or part of accounting and bookkeeping support. It is separate from employment-law advice, an employer-of-record arrangement and our owner/director salary benchmarking service.
Services matched to your business
Choose the work your team needs. We agree what SAIF prepares, what your HR team confirms and what management approves before the first run.
Calculate basic pay, allowances, approved variable pay, overtime, unpaid leave and documented deductions from the employer’s authorised inputs. Reconcile joiners, leavers and contract changes before the run is final.
Where the employer’s applicable route uses the Wage Protection System, prepare or review the salary information file and reconcile it to the approved register. The employer or its authorised payment provider uploads and releases the transfer.
Prepare itemised payslips and a confidential payroll register showing earnings and deductions. Agree who distributes payslips, answers employee queries and controls access to personal information.
Maintain agreed leave, gratuity or other benefit calculations using the applicable employment terms and employee history. Review alternative benefit arrangements and special work patterns separately.
Bring the final salary, unused leave, benefit entitlement and authorised deductions into a documented leaver calculation. Management confirms employment facts and approves the settlement before payment.
Prepare journals, cost-centre allocations and liability reconciliations so the salary register, bank payments and general ledger agree. Provide variance and exception reports for management review.
Scope matters: No fixed package includes every task by default. The proposal names the entity, periods, employee count, outputs, software access, payment-file responsibility and any separate historical corrections.
A controlled monthly cycle
Good payroll is a repeatable process, not only a calculation. A monthly cut-off gives time to resolve missing changes before salaries fall due, while a second review catches unusual movements before management authorises payment.
Confirm the employing entity, employee master data, pay components, contract terms, payment route, approval owners and secure transfer of records.
HR or management supplies approved joiners, leavers, attendance, leave, overtime, incentives and deductions by a clear monthly cut-off.
Prepare the register, compare it with the prior period and investigate unusual changes or missing employee information.
The employer approves payroll and authorises the bank or exchange-house payment. WPS/SIF support is included only where the agreed route requires it.
Match transfer evidence to the register, issue agreed payslips, post accounting entries and retain the approval and exception trail.

Payment route
For establishments registered with MoHRE, the Wage Protection System is the authorised wage-payment route. The salary file must reflect the approved payroll and the provider’s current format. The employer remains responsible for paying wages on time and dealing with any rejection or exception.
Match the employee master to approved contracts, current pay components and the relevant period. Reconcile total fixed and variable pay, adjustments and leavers before producing a payment file.
Compare the proposed WPS or bank file to the signed-off register. The company or its authorised provider funds, uploads and releases payment; retain evidence of acceptance and follow up rejected or unpaid entries.
Reconcile paid amounts to the bank and payroll liability accounts. Keep the register, payslips, approvals, payment confirmation and documented corrections for the company’s records.
Read the UAE Government’s guidance on wage payment and MoHRE’s WPS overview. Confirm current requirements for your employing entity and authority.
Mainland and free zones
A Dubai address or a free-zone licence does not by itself tell you which wage-payment file or employment procedures to use. Start with the employing entity, employee contract and applicable authority. MoHRE-registered establishments use its WPS route; a free-zone employer must check the relevant authority’s current process and any separate employment rules.
We can help map payroll outputs for mainland and free-zone teams, including multi-entity groups. We do not describe every free-zone payroll as “MoHRE WPS compliant” without checking. The UAE Government’s free-zone employment guidance explains why authority-specific rules matter.
Start with reliable inputs
We do not ask for full employee identity or bank details through the website. First agree a secure channel and confirm the process owners.
Trade licence, employing entity, labour authority, work-permit route, payment bank and any free-zone payroll instructions.
Contracts, start dates, basic pay, allowances, bank or payment identifiers, cost centres and approved changes.
Attendance, overtime, leave, commission, bonus, advances, authorised deductions and leaver information.
Cut-off date, named preparer and approver, secure access, employee query route and prior-period registers.
HR supplies the start and exit dates, contract pay, attendance and authorised overtime. The draft register highlights the pro-rated salary, final settlement and changes from last month. Management resolves exceptions, approves the payment total and releases salaries. The bank result is then reconciled to the register and payroll journal. This is the kind of visible hand-off an outsourced process should preserve.
Leave and employee benefits
Annual leave, end-of-service benefits and a leaver’s final settlement depend on service history, contract terms and the applicable employment regime. They require evidence and review even when no extra amount is paid in the current salary run.
For eligible private-sector expatriate employees, the UAE Government’s end-of-service guide explains the basic-salary basis for gratuity and the timing of final entitlements. There are separate rules for UAE nationals, alternative savings arrangements, other work patterns and particular jurisdictions. The annual-leave guidance is another input; one generic formula should not replace a review of the employee’s facts.
Reconcile opening entitlement, approved absence, current accrual and unused balance.
Maintain the calculation basis and service history, including any applicable alternative scheme.
Bring together final pay, leave, benefit entitlement and approved deductions for sign-off.
Technology and control
SAIF supports clients using Zoho Books, Odoo, Xero, QuickBooks and other accounting or ERP platforms. We first check where employee master data, attendance, payroll calculations and accounting entries live. A software subscription alone does not establish a correct payroll process.
Some clients want only a monthly journal for an existing finance team. Others need help producing the register, payslips and a bank-ready salary file. We scope any HRMS integration, system configuration, user permissions or historical data migration separately rather than assuming it is included.

The number of employees matters, but it is not the whole quotation. Several employing entities, variable pay, multiple bank formats, historical corrections, cost-centre reporting and final settlements can change the work substantially.
SAIF does not advertise a fixed plan for every business. Send a brief with the employee count, jurisdictions, current process, software, monthly cut-off and required deliverables. We will propose an appropriate scope and clarify what your team keeps control of.
Questions employers ask
These answers help define the work. The actual employment and wage-payment route should be checked for each entity and authority before processing.
A tailored payroll service can include salary calculations, a payroll register, payslips, WPS or salary-file preparation where applicable, leave and end-of-service schedules, accounting journals and reconciliation. The engagement letter should identify exactly which of these SAIF prepares, reviews or coordinates.
Yes. Payroll can be scoped as a stand-alone process or alongside bookkeeping and management reporting. Agree how the payroll journal and liabilities will reach your internal accountant or existing accounting provider.
The employer retains approval of payroll and control of the payment from its bank or authorised payment provider. SAIF can prepare or review the agreed payroll outputs and payment file; bank upload, release and funding responsibilities must be expressly assigned.
Do not assume that all free-zone employers use the same MoHRE payment route. Confirm the employing entity, labour authority and current free-zone or authority instructions before deciding whether WPS, a different salary-file process or another payment method applies.
It is a structured salary-payment file used through an applicable WPS banking or exchange-house route. Employee identifiers, pay period and approved amounts should be checked against the payroll register and the provider’s current format before release.
Payslips, a payroll register, month-on-month variance report, cost-centre summary and accounting journal can be included. We agree the delivery format, access restrictions and who communicates with employees before processing begins.
The employer supplies approved changes with effective dates and supporting documents. We reconcile these to the employee master, calculate the current-period effect and flag exceptions for management approval. A final settlement is separately reviewed against the applicable contract and rules.
End-of-service or alternative benefit schedules can be part of the scope. The basis depends on the employee, employment terms, service history, work pattern and applicable regime. We do not treat one online gratuity formula as a substitute for checking the facts.
Yes. Payroll accounting can be coordinated with Zoho Books, Odoo, Xero, QuickBooks or another accounting or ERP system. Whether payroll itself is processed in a particular HR or payroll application depends on your setup, permissions and the agreed integration scope.
No. Under a payroll processing engagement, your company remains the employer and retains its employment and payment responsibilities. An employer-of-record arrangement changes the employing structure and is not implied by SAIF’s payroll service.
We do not use one fixed plan for every company. The quotation depends on employee count, entities, pay components, frequency, historical cleanup, reporting requirements, systems, authority-specific file needs and the division of responsibilities.
Agree named users, access permissions, a secure exchange route, record retention and who may receive payslips or reports. Avoid sending full employee identity or bank details through a general website enquiry.
No. Monthly payroll processing calculates and records approved pay. A separate remuneration benchmarking study assesses whether owner, director or connected-person pay has supportable market value for a defined tax or commercial purpose.
